1. About these Terms of Service

These Terms of Service (the "Terms") govern your use of the Bowls Admin application and related services ("we", "us", "our") as an end user — including club administrators, members with login access, and other authorized users.

By creating an account, signing in, or using the application, you agree to these Terms. If you do not agree, do not use the service.

Club subscription billing, invoices, payment methods, trials, and related commercial terms are governed separately by our Subscription Terms & Conditions.

2. Accounts and acceptable use

You are responsible for:

  • providing accurate account details and keeping them up to date;
  • safeguarding your login credentials and authentication methods;
  • using the service only as authorized by your club or organization;
  • complying with applicable law when using the platform and when processing personal information you access through it.

You may not:

  • reverse engineer, decompile, or attempt unauthorized access to the platform;
  • use the service for unlawful or infringing purposes; or
  • interfere with platform operation, availability, or security.

We may suspend or restrict access where we reasonably believe there is fraud, abuse, unlawful activity, or a risk to platform security or integrity.

3. Privacy Policy

3.1 Scope

This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with the Bowls Admin application and related services.

3.2 Information We Collect

Depending on use, we may collect:

  • account data (name, email, role, authentication data);
  • club and billing contact details;
  • member profile data (including contact data and identification fields where provided);
  • billing and transaction data (invoices, payment status, payment method metadata);
  • operational logs and audit records, including payment provider event payloads used for reconciliation and troubleshooting;
  • device/session and usage data (IP address, browser/user agent, session identifiers);
  • communication records related to support and billing notifications;
  • push notification device tokens where you enable notifications on a supported device.

3.3 Payment Data

  • Card data is processed through Payfast hosted flows.
  • We do not store raw card numbers or CVV in our application database.
  • We store token/reference data and billing metadata needed to process and reconcile transactions.
  • For debit order methods, bank-account details submitted for billing may be stored to administer the mandate and billing process.

3.4 How We Use Information

We use personal information to:

  • provide, maintain, and secure the service;
  • administer subscriptions, invoices, collections, and payment support;
  • send transactional and operational communications (including email and, where enabled, push notifications);
  • investigate fraud, abuse, and security incidents;
  • comply with legal and regulatory obligations.

3.5 Sharing and Processors

We may share relevant personal information with:

  • payment processors (including Payfast);
  • email delivery and infrastructure providers;
  • push notification and mobile platform providers;
  • hosting, storage, analytics, and security vendors;
  • professional advisers, auditors, and regulators where required.

We require processors to handle data under appropriate confidentiality and security obligations.

3.6 Retention

We retain personal information for as long as needed to provide the service, resolve disputes, enforce agreements, and satisfy legal, accounting, tax, and regulatory obligations.

3.7 Security

We implement reasonable technical and organizational safeguards. No system is completely secure, and we cannot guarantee absolute security.

3.8 Your Rights (POPIA)

Subject to POPIA and other applicable law, you may request access, correction, deletion, objection/restriction, or related rights by contacting [email protected]. We may request verification of identity and authority before actioning requests.

3.9 Cross-border Processing

Where service providers are located outside South Africa, personal information may be processed cross-border, subject to applicable legal safeguards.

4. Changes to these Terms

We may update these Terms from time to time. Updated versions become effective on publication or the stated effective date. Continued use of the service after the effective date constitutes acceptance of the updated Terms.

5. Governing Law

These Terms are governed by the laws of the Republic of South Africa. The parties submit to the jurisdiction of South African courts, unless an alternative forum is required by non-excludable law or agreed in writing.
